I. ROYAL VICTORIA YACHT CLUB

The Royal Victoria Yacht Club is an active and lively organization with over 1,250 members. Founded in 1892, RVYC is the oldest yacht club in British Columbia. Over the past one hundred and twenty-five years, RVYC has made significant contributions to the sailing, seafaring, and cruising communities of the Pacific Northwest. RVYC encourages its members to become involved in many activities that are supported by the Club. The objectives of RVYC are to encourage yachting; boating, navigation, and seamanship; to promote sportsmanship and excellence in competitive sailing; to provide facilities for the use and benefit of members and to preserve yachting traditions.

Reporting to the Commodore and Board of Directors (Board), the General Manager (GM) oversees the daily operation of the Club and is responsible for various programs and services. The GM is responsible for the efficient operations, staffing, day-to-day financial management, and compliance with statutes, regulations and by-laws.

II. POSITION

The Position – General Manager

SPECIFIC DUTIES AND RESPONSIBILITIES                                                                        

Administration and Finance

  • Design, implement, and improve upon operating policies, standards and contracts, and provide recommendations in relation to establishing, terminating, changing or renewing service contracts, with supporting rationale;
  • Provide sound financial management, including support for preparation of the annual budget, and regular variance analysis of actual expenditures compared to budget and year-to-date costs, as well as maintaining sound financial controls;
  • Work closely with the staff accountant to regularly monitor financial activities, ensuring that records are accurately maintained, available, and properly prepared for the annual audit by the Club’s contracted auditor
  • Operate the Club information management system (Jonas) and ensure that all club records are complete, accurate, and up-to-date;

  Asset Management

  • Develop and maintain a capital asset replacement plan;
  • Plan and oversee maintenance of the Clubhouse and grounds;
  • Plan and oversee maintenance of the foreshore, marina facilities and outstations;

Member Services & Communication

  • Assist with marketing and membership generating initiatives in order to promote the Club’s services and facilities to current and potential members;
  • Establish and maintain effective processes to gather and address member and guest feedback, compliments and mitigate complaints;
  • Oversee the management, planning, staffing, finances and daily operation of all club service.

Human Resources

  • Provide recommendations to the Commodore and/or Board members related to staffing levels required to meet operational needs of the Club, including salary levels;
  • Ensure staff job descriptions are kept current and understood by the employees;
  • Set annual staff goals, carry out periodic performance planning reviews with staff and conduct annual appraisals against pre-agreed goals and objectives;
  • Conduct thorough and documented exit interviews with any departing employees.

Club Functions and Events

  • Promote the use of club facilities for member-sponsored events, maintaining a balance with availability of the Club for regular use by members;

Support of the Board and Planning

  • Provide advice and support to the Commodore and Board in the development and implementation of plans, policies and programs;
  • Chair the House & Grounds and Food & Beverage Committees as staff committees.

KNOWLEDGE, SKILLS AND ABILITIES

  • Completion of a post-secondary degree program plus five years related experience or equivalent combination of education and experience;
  • Progressive management experience in delivering Financial Management, Human Resource Management, Information Systems Management, Administrative Management and Operations Management services;
  • Experience managing staff, developing administrative budgets, managing contracts, developing policy related to a variety of administrative, human resources, information systems and operations management;
  • Knowledge of the principles of an Occupational Health and Safety Program;
  • Comprehensive knowledge of human resources principles, practices, policies and procedures and related legislation and regulations in the areas of recruitment and selection, classification, employee and labour relations, occupational health and safety, human resources planning, training and development and operations;
  • Ability to manage individual and team performance by setting goals and standards, evaluating performance and correcting where applicable;
  • Ability to manage programs effectively by anticipating needs and operational implications, including planning, operations, budgeting, implementing and evaluating results;
  • Ability to quickly identify, analyze and evaluate operational problems or issues and recommend innovative solutions;
  • Ability to establish and maintain effective working relationships with staff, colleagues, external agencies and a variety of groups or individuals to meet objectives, complete projects and influence outcomes;
  • Ability to prepare, provide and obtain clear, concise and complete oral and written information of a complex and technical nature at a level appropriate to diverse audiences in a timely manner;
  • Ability to organize and manage projects, adapting as needed to changing priorities and deadlines, emerging issues, impacts of decisions, competing and conflicting demands, and to keep staff, colleagues and the Executive Committee informed as required;
  • Ability to exercise appropriate conflict resolution, mediation and negotiation skills to work towards effective employee/labour relations;
  • Ability to use standard computer applications efficiently to produce correspondence, reports, spreadsheets and presentations;
  • Ability to develop and maintain effective and respectful working relationships with the Executive Committee, committees and members of RVYC; and,
  • Ability to prioritize one’s own work, and coordinate the workload of other staff effectively, efficiently, and independently, achieving results with acceptable timeframes while taking into consideration changing priorities, deadlines, volume available resources and reporting relationships.

COMPENSATION:

The Club will offer an attractive compensation package, commensurate with experience, which will include a competitive base salary, bonus opportunity and benefits.

All our club facilities and activities are entirely dependent on voluntary help by members. Members are encouraged to regularly participate in Royal Victoria Yacht Club (RVYC) activities such as those listed below. This helps the club maintain its Community Amateur Sports Club status (CASC) obligations for participation as set out by HMRC. CASC status saves us around £5000 per year in tax.

You won't be expected to take on a role in any activity for the first time without the support of other members. If you're the sort of person to get stuck in, the opportunities are endless and volunteering is a great way to meet people and get involved in club life. Activities for you to get involved in include sailing and boating, training, race management and safety support, coaching, instructing, first aider, boat maintenance, committee member (sailing, social or general management), club maintenance or other club-related volunteer work.

How to join RVYC

The Royal Victoria Yacht Club welcomes new members. Please note that young people under the age of 14 years can only join if a parent/grandparent/guardian is also a member. Persons under 14 years old must be supervised at all times while on club property or on the water by an appropriate adult over the age of 18. Parents/guardians remain responsible for their dependents whilst on club property or out on the water.

Do I need to know, or be nominated by an existing RVYC member to join?

No you don't. Joining is all very easy, just download and fill in the membership application form from the downloads section below, send it to us, details on top of form, with the appropriate membership fee. Once approved we will create your membership card and send you a members information leaflet. We will also let you know about the events at the Club via regular email newsletters and arrange for someone to meet you and introduce you to other members on your first visit.

Do I need to be interviewed, approved by, or talk to the committee to join?

Definitely not, we do not require any formal letters, presentations or interviews to join the Club. RVYC is "Open to All". Just fill in the application form in the download section below, pay the appropriate membership fees and you will become a full member of the Club. New memberships are voted by the management committee each month, but this is just a formality.

I don ' t know how to sail and my children would like to learn, can we join as a family?

Yes you can, we have specific family membership packages and the good news is there is no limit on the number of children per family. We have a great social side at the Club when the cadets are learning to sail on their regular Friday nights. We have Adult Sailing sessions too, so if you have never sailed a boat but would like to learn, then these sessions are for you. Find out more under Adult Sailing.

What ' s the social side of the Club like, or is it just all about sailing?

We have a great social side to the Club and we have members from many and varied professions and backgrounds. Friday nights are cadets nights and usually fairly busy in bar and restaurant. Wednesdays we have talks in the winter and Adult Sailing in the summer. We have various events throughout the year e.g. RVYC Regatta, Fitting Out and Laying Up Suppers, the Easter Duck race and many more.

We don ' t have a boat for us or our children, is that a problem?

Not at all, RVYC has its own club boats that either you or your children can hire for a nominal fee. Find out more from the list of charges in the download section below.

What equipment or gear will we, or our children, need to go sailing?

In the summer months all you will need is your own buoyancy aid and spray top, neither of these items are expensive and can be found in any chandlery on the Island. We have discount arrangements with several chandlers for RVYC members, so once you are a full member we can let you know where to shop.

How much does it cost to join?

We have different membership packages to suit everyone. We have a family, single adult, joint adult, young adult & cadet memberships, plus overseas memberships for those who reside outside the UK. A one-off entrance fee is charged when you join. All our fees shown in the download section below, plus page 4 of application form. Can I join any time of the year?

Yes, we have no specific "joining period". You can join the Club at any time throughout the year. Membership subscriptions are on a monthly pro-rata system, depending on the month you join. Details on page four of the application form. The club membership subscriptions run from 1st October to 30th September.

I don ' t know anyone that is a current RVYC member.

The great news is we are a friendly bunch and welcome new members. The first time you come to the Club we will ensure you are introduced to our Commodore and Flag Officers . They will then introduce you to various other members at the Club. We have many members from varied backgrounds and professions, so there is bound to be someone you will have something in common with.

Do I need any sailing qualifications to join?

Not at all, we don't have any prerequisites for joining the Club. However If you are interested in doing some training we have informal Adult Sailing sessions to learn how to sail, and we also run RYA Powerboat 2 course so you will be able to drive RIBs unaided.

Is the Club only open in the summer?

Definitely not. The Club is open all year round, seven days a week in the summer and closed on Mondays and Tuesdays in the winter. We have fantastic programmes for the cadets and adults right through the summer and winter. We have a carol concert at Christmas and various other events. Our Friday nights and Sunday lunches are always well attended even in the depths of winter!

I am a serious racer, is RVYC for me?

Absolutely! We have a full race programme that runs from March to December for all types of boats - from fast and slow handicaps to cruisers and everything in between. There is class racing for Lasers, Squibs, Optimists. cruisers, MOCRA and Scows. Our racing takes place in the Solent and starts from our unique race box on stilts. It is competitive, challenging and enjoyed by all.

Do you have a try out or any open days so we can see what the Club is like before we join?

If you would like to join us for a drink and talk to someone about the Club you are welcome to do that any time. Just call us on 01983 882325 or email [email protected] . We can arrange a time for you to come to the Club and see what it is all about. If you would like to try out sailing and find out what it is like to sail at the RVYC, just ask and we will arrange a taster session.

I quite like the sound of the Club, but can I talk to someone before I join?

What benefits does the Club offer?

There are many benefits and we have listed some of them:

  • Club racing on Sundays and evenings with fleet racing for Squibs, Lasers, Optimists, Scows, Waspz, Fast and Slow Handicaps plus Cruiser racing
  • Open sailing on Saturdays with RIB rescue cover
  • Cadet sailing for members eight to 18 years old, including a summer cadet week
  • Adult sailing for members over 18 years old
  • RYA training courses
  • Clubhouse which is open up to seven days a week in summer and five days in winter (closed Monday and Tuesday from November to 31 March)

  • Galley with food available lunchtimes and some evenings from Wednesday to Sunday
